Signup and informed consent for the Collective Matters Workshop on AI and design: The good, the weird, and the ethically messy

This workshop is organized by Collective Matters, a community and research initiative dedicated to reimagining what “good design” can be – beyond usability and profit.

About Your Data and Privacy

What kind of data will we collect and how? During the workshop, we will share and discuss experiences of using AI at work and reflect on how this affects the practice, the designer role, and potential ethical implications. We will use an online tool for digital collaboration to document group discussions and insights on “digital post-its”. Facilitators may also take written notes. We will collect your name, e-mail address and title/role when you register for the workshop. Your name and e-mail address are used only for workshop administration, title/role for research purposes. Information that can be linked to you is considered personal data in accordance with the EU General Data Protection Regulation 2016/679 (GDPR). The reason why the project needs to process such personal data is to conduct research relating to cultivating ethics in design practice. The legal basis for the processing of personal data is that the processing is necessary for the performance of a task carried out in the public interest, according to the EU General Data Protection Regulation, Article 6 (1).

How will the data be used and stored? All research material (notes and digital post-its) will be stored securely and used for research purposes and to develop the Collective Matters community. Your name and e-mail will be stored separately from the research data and will not be linked to any published results. No names or identifying information will be published or shared. Data collected for research will be stored for at least 10 years, in accordance with Swedish research regulations. If the material is judged to be of lasting value, it may be preserved for the future. According to the EU's data protection regulation, you have the right to access the information about you that is handled in the project free of charge, and if necessary to have any errors corrected. You can also request that information about you be deleted and that the processing of your personal data be restricted. In certain circumstances, the EU General Data Protection Regulation and supplementary national legislation allow for derogations from these rights. For instance, the right to access your data may be restricted due to requirements for secrecy, and the right to have your data erased may be limited due to rules concerning archiving. If you wish to invoke any of these rights, you should contact Sharon Lindberg, sharon@dsv.su.se, who is responsible for this research, or the data protection officer at Stockholm University (dso@su.se).

Voluntary participation. Participation is voluntary. You may withdraw from the workshop at any time, without giving a reason. However, notes from collective discussions you participated in cannot be erased, as they are part of the group data.

Possible risks and discomforts. The discussions may touch on slightly sensitive topics, such as tricky ethical dilemmas in a project at work, which could cause some emotional discomfort or stress. Group discussions may also involve differing opinions, which can sometimes feel uncomfortable. While we do not collect personal data during the workshop discussions, you may choose to share experiences that are sensitive or potentially identifiable. Do not note these down.

Results and dissemination. The results of the study will be presented in scientific articles, book chapters, and conference presentations. No participant will be identifiable in any publication.
